This privacy policy page presents the approaches that ProductiveMinds Publishing and Learning Ltd, the operator of this website (in this document, also referred to as the "ProMinds", "We", "Us", "Our") use to process, manage, and protect the information we collect about our users. The information on this page is intended to be concise, making it easy to read and understand. It demonstrates our continuous effort to complying with the guidelines of the EU General Data Protection Regulation (GDPR), which came into effect on 25th May, 2018. The GDPR is a set of rules that describe how businesses should process and manage personal data. By using ProMinds, you agree to our terms and conditions, which sets out this privacy policy. So you agree to this privacy policy when you agree to our terms and conditions. You should not use ProMinds if you do not agree to any aspect of our terms and conditions and this privacy policy.


1. What is personal data?

Your personal data refers to any information that makes it possible to identity you (directly or indirectly). Within the scope of ProMinds, your personal data refers to the personal information we collect about you, which is limited to the information you supplied when you use our website or one of our apps – see section 2 below for further details of the data we collect.
Apart from the information you provide, we do not have access to any other information about you.

2. The information we collect about you

During your registration on ProMinds (websites or apps), and with subsequent usage, we collect the following information.
  • Your full name
  • Your contact information - that is, your email address and/or phone number.
  • Demographic information and usage preferences, including your IP address.
  • Should you subscribe to a service or purchase a service (or product) from us, we would additionally collect your payment information and delivery information (physical address), where necessary to fulfil your order.
  • In the case where you placed an order with us, we may additionally collect your shopping behaviour, and we may persist your shopping basket in the session (and Cookies) with a view to providing you a good shopping experience.
  • During registration only, we record your device type (that is, mobile, tablet, or computer) and your current country only. We need these 2 information to help distribute our server resources.
As a standard account user on ProMinds (that is, you are over 13 years old), you will be able to create accounts for your students, who can then login to use ProMinds to study and prepare for their academic achievements. We only collect limited personal data about students. However, a student account provides full access to the quizzes and performance review.
The following personal data must be provided about each student:
  • Their full name,
  • Their username, and
  • Their password
  • You can optionally add their email address, but this is not required.

3. How we use your personal data

We use these information to learn and understand how you use our website with a view to improving the services we provide to you. Admittedly, we may use your information for the following purpose.
  • Identify you while you are using ProMinds.
  • Improve our products and services.
  • Fulfil your request for our products and services. For example, we may use your contact information to communicate with you in relation to your account, your order and/or subscription services.
  • Inform you of the achievement of your students by giving you access to the grades and reports (analytics) of your students.
  • You have full access to the information we have about you whenever you login into your account.
  • We only collect and process the minimum level of information required to achieve any purpose. For example, we only required you location information (address), if you place an order with us. Otherwise, your email address is adequate to complete quizzes and create accounts for your students.
  • If we have received your consent to do so, we may send you periodic newsletter to notify you about improved services and new updates.
  • To carry out anonymised marketing or research activities with a view to improving our services.
  • To carry out our legal obligation such as accountancy and book-keeping.
We will never share any aspect of your data with a third-party without your express consent. In essence, we will never sell or trade your personal data for any reason.

4. Your rights regarding your personal data

The GDPR specify some rules concerning your rights about the data held about you. They are:
  1. Your right to your information and the data help about you. You can ask us anytime about what we do with your data, how we process it and how we use it.
  2. Right to withdraw your details or delete your information from our system - see section 7 for further details.
  3. Your right to access the information about you.
  4. Your right to the correction of the information held about you.
  5. Your right to set limits on the processing carried out on your information.
  6. Your right to disagree to processing your information
  7. Your right to the copy of the data held about you.
  8. Your right to make a complaint. Upon contacting us to withdraw or delete your information, if we refuse based on the right of access or if we have a legal reason to continue to keep your data, we will inform you of our decision.

5. Security of your data

We implement the latest technology and practices in data security to secure the information on our website. In particular, for example,
  • ProMinds websites and apps are deployed on proven educational and ecommerce platforms, some of the most trusted in the industry.
  • We implement industry-standard secure protocols, https, when we transmit data. We monitor our processes for any potential security vulnerabilities and threats.
  • We implement industry-standard security practices to ensure your data is safe and hidden away from unwanted access.
  • We monitor and review transactions on our servers to militate against any known issues.
  • We regularly invest in updating our systems to meet the changes in security practices.
  • Despite our effort to secure our systems that hold your data, we cannot possibly guarantee the security of data. Therefore, in an unlikely event of security breach to our system, which involves your personal data, we will inform you and the relevant authorities. We will then work with the authorities to establish to situation and to prevent future reoccurrence.

6. Any third parties accessing your personal data?

We may be obliged to disclose the personal data we hold about you, in order to continue to provide you a good service, in cases where you have already given us the consent to do so, or where we are required to do so legally. We may disclose your personal information in any of the following situations:

Vendors and service providers

ProMinds may share your information with our trusted vendors and partners who work with us to provide you the service. For example, we may have to share your information with service providers such as Google analytics, payment gateways, such as PayPal and other targeted advertising agencies such as Google Adsense, or FaceBook Pixels.

Government and legal authority.

If we are required to provide information about our services, we may share information that involve your usage of our system with the government authorities and depatments.

7. How to modify or delete your personal data

Since the implementation of the GDPR on 25th May 2018, the right of the subjects (or owners) of personal data has been at the forefront of the organisations that handle personal data. The regulations define the need and importance of making data available to data subjects when requested.
To this end, we would like to inform you that you have full access and rights to the information we hold about you in your account area. You can login to view and modify any information we hold about you at any time.
Additionally, should you have the need to delete your account, please send us an email to We are obliged to honour your request within 30 days of receiving your request.

8. Cookies and similar technologies

Cookies are a small data sent from a website, to be received and stored by the internet browser of the website users. Cookies are used to detect, store and share information about user's behaviour and preferences on the website, as they browse the website. For example, cookies can be used to understand user preferences (such as language preference) shopping basket among others.

How ProMinds use cookies and similar technologies

ProMinds use two types of cookies. First is the session cookie, which expires when you close your browser or shortly after inactivity. Session cookies help to identify you while actively using ProMinds - for example when you login, a session object identifies you as an account holder. Secondly, we use persistent cookies - this type of cookies are stored for a specified and long period of time. For example we may use persistent cookies to remember your shopping cart on a device, even when you closed your browser.
ProMinds uses cookies and similar technologies including session objects, beacons, and FaceBook pixel tags, For example, ProMinds use cookies for analytical and statistical purposes to remember the activities of our users (that is, the pages users visited and for how long they were there), we use these information to understand the needs of our users with a view to channel our services towards meeting the needs.
ProMinds also use cookies to further personalise your experience, based on your preferences and expectations. When a user logs into their account, ProMinds uses cookies and session objects to authenticate and establish security, while displaying the appropriate content, based on their account eligibility and personal preferences. For example, a student account may display differently to a standard account.

Can I switch off ProMinds cookies?

No, the correct functionality of ProMinds depends on cookies. ProMinds may not function as intended, if you turn of cookies on your device browser. You should not use ProMinds, if you don't want to store ProMinds cookies on your device.
